What Documents Do I Need for Moving In?

A checklist of the documents, payment deadlines, and key collection requirements needed to finalise your move-in with StudieBolig Syd.

Securing a room through StudieBolig Syd is only the first step; you must provide specific documentation to maintain your lease and avoid financial penalties. In Denmark, student housing is strictly regulated, and failing to meet a deadline can result in the immediate loss of your accommodation.

Required Study Documentation

To qualify for a dormitory or youth housing in Sønderborg, you must prove you are an active student. According to official guidelines, you must provide one of the following documents:

  • Official enrolment documentation from your educational institution.
  • A confirmation email from your school or student council.
  • A signed contract regarding an apprenticeship.
  • A signed contract regarding an internship or training placement.

The Tenancy Lease Contract and Payments

Once you receive an accommodation offer, you have a very narrow window to finalize the paperwork. You must sign the tenancy lease contract and pay both the deposit and the first month’s rent no later than one week after accepting the offer.

If you are not accepted into your study program, you can cancel your contract and receive a full refund of your deposit and rent. However, this only applies to dorms (not youth housing) and students moving in during August or September. To get your money back, you must inform StudieBolig Syd no later than the day before your contract starts. If you wait until the contract start date or later, you are bound by the standard terms of notice:

  • 6 weeks notice to the 1st of a month.
  • 8 weeks notice to the 15th of a month.

Key Collection Requirements

You cannot move into your accommodation earlier than the date specified on your contract. Keys must be picked up in person at the StudieBolig Syd office located at Skovvej 20, 6400 Sønderborg.

  • Keys are only handed out during opening hours.
  • If your contract begins on a weekend or a public holiday, you must wait until the first following working day to collect your keys.
  • You must bring identification to the office to receive your keys.

Ongoing Compliance: The Annual Study Check

Your right to live in a Sønderborg dormitory depends on your status as a student. Under the “bekendtgørelsen om almene ungdomsboliger,” StudieBolig Syd is legally required to perform a study check at least once a year.

When you receive the verification email, you must fill out your section, have your educational institution sign and stamp it, and return it to StudieBolig Syd. Every tenant must reply. Failure to complete this annual documentation is grounds for lease termination.

Digital Tools and Emergency Access

Upon moving in, you should immediately set up your digital monitoring and emergency contacts. You will receive an email with login details for the ISTA Ecotrend app, which you must use to monitor your heat and electricity consumption.

For physical emergencies outside of office hours, such as a burst water pipe or a total lack of electricity, call the emergency phone at +72 28 28 19. Note that minor issues, such as a broken fridge, ants, or being locked out, are not considered emergencies and must wait until standard office hours.

Managing your documents with precision is the only way to protect your housing status in Sønderborg. The most critical deadline is the 24-hour window before your contract starts; if your study plans change, informing the office by this date is the difference between a full refund and losing two months’ rent. Always keep digital copies of your signed contract and stamped study checks for your own records.
