Navigating student housing in Sønderborg requires knowing exactly who to call when things go wrong or when your circumstances change. Delayed or incorrect communication with StudieBolig Syd (SBS) can result in financial penalties, unresolved maintenance issues, or even the loss of your housing.

General Inquiries and Office Communication

For all non-urgent matters, you must contact the central office via email. To ensure your request is processed, you must send an email to mail@sbsyd.dk with the subject line “CONTACT / KONTAKT”.

Your email must include the following required information:

  • Full Name
  • Email address
  • Room Number
  • Full Address, Zip Code, and City
  • A clear description of your message

Note that your communication is only officially received and accepted once you receive a confirmation email from StudieBolig Syd. This is particularly critical for matters regarding your lease or rules of termination.

Emergency Contact Procedures

In the event of a fire, your first action is to call the emergency services at 112. Once the fire brigade is alerted and you have activated the local call points, you must immediately contact StudieBolig Syd personnel:

Maintenance and the Janitor

The janitor is your primary contact for the physical condition of your room. You are required to report any damage to the property to the janitor immediately.

Moving Out and Lease Changes

Communication regarding your lease follows strict deadlines and procedures. If you intend to move out, you must fill out a notice of termination.

  • Notice Periods: You must give 6 weeks’ notice before the 1st of a month, or 8 weeks’ notice before the 15th.
  • Inspection: You must vacate and have a moving out inspection with the janitor at least 14 days before your termination date.
  • Service Dogs: If you need to bring a service dog, you must contact StudieBolig Syd directly for a case-by-case evaluation.
  • Guest Rooms: Students can rent guest rooms for 1 to 7 nights (DKK 75 per night) by contacting the office, but guest rooms cannot be rented during August, September, or October.

Effective communication with StudieBolig Syd is your responsibility as a tenant; always keep a record of your sent emails and the confirmations you receive. The most critical rule to remember is that you must report all property damage to your janitor the moment it occurs to avoid paying the repair costs out of your own pocket.
